With most UK businesses expected to adopt a hybrid working model post-pandemic – and the Government’s flexible working taskforce urging permanent job flexibility for all workers – it’s never been more important for companies to protect their data and make their systems more efficient and compliant.
In response, Manchester-headquartered Docutech Office Solutions – UK leader of secure electronic management systems – has just launched Docuflo.
This pioneering cloud-based document management and workflow automation solution digitises and secures GDPR-compliant data in a central accessible location.
Docuflo also improves company efficiency and productivity – and therefore profitability – by providing employees with centralised, secure and instant access to documents and processes, whether they’re in the office, working from home or out and about on a mobile app.
Using the latest technology – encompassing Artificial Intelligence (AI), Optical Character Recognition (OCR), QR codes, workflow automation, Application Programming Interface (API) integration, mobile apps, Scan & Go and digitisation – documents can be scanned, sent, received and retrieved through a secure portal with end-to-end encryption. This means only the recipient can access the enclosed information.
It also integrates with other Microsoft applications, CRM and ERM and stock management systems – as well as most accounting software – for seamless information sharing, allowing documents to be edited and shared, as well as for private information to be withheld.
Each Docuflo installation is bespoke and follows a thorough Docutech audit to determine dataflow. Cyber security skills training is then provided by the company’s GCHQ-approved partner, XYONE Cyber Security.
Jason Dixon, Managing Director of Docutech Office Solutions, said: “It certainly seems that flexible working is set to become the new norm, so it’s essential that businesses are best equipped to meet data privacy requirements. Being able to lead and manage remote teams effectively is also crucial to success for business owners and managers.
“As we all navigate our way through the pandemic, working from home means that accessing confidential data poses a greater risk of security breaches. Failure to do so can be costly, with fines of up to 20million EUR or 4% of annual turnover. Needless to say, employers should now be putting additional provisions in place to prevent data from being misused or mislaid. Not to mention supporting staff efficiency and productivity.
“Our Docuflo system is easy to implement and use, not to mention cost-effective to install. Add in our bespoke audit and the training support we provide to ensure the right solution is developed and used correctly by everyone. There really is no simpler way to achieve cohesive, compliant and efficient hybrid working as businesses plan for their post–Covid future.”
